This notice explains, in general terms, how JobRoute handles personal information through the public website, customer setup, the portal and AI receptionist services. A customer order or service-specific notice may add further detail.

Scope and responsibility

JobRoute is currently operated in the United Kingdom and is not presently incorporated as a limited company.

The UK-based operator of JobRoute is responsible for personal information used to run the website, manage direct customer relationships, provide support and operate the service. Contact hello@jobroute.co.uk for the operator's controller details or any privacy question.

When JobRoute handles caller information solely on a customer business's instructions, the respective privacy roles may differ. The customer business will normally decide why it wants calls answered and what information the receptionist should collect. Contact us if you need the data roles for a particular setup explained.

Information we handle

The information involved depends on whether someone visits the website, becomes a customer, contacts support or calls a JobRoute customer.

Website and enquiries

Contact information

Name, email address, phone number, business name, trade, enquiry details and the content of messages sent to JobRoute.

Customer service

Account and setup data

Sign-in identity, business details, services, coverage area, opening hours, greeting, call questions, notification choices and account-support history.

Receptionist calls

Caller and call data

Caller number, name, address or postcode, job description, urgency, availability, spoken responses, transcript or summary, and call timing or status information.

Operation and billing

Service records

Usage, delivery status, technical logs, support records, plan and payment status, billing contact information and transaction references.

Voice, addresses and detailed descriptions can reveal personal or sensitive circumstances. Customer businesses should configure their receptionist to collect only what is relevant to the enquiry.

How and why information is used

JobRoute may use personal information to:

  • respond to enquiries and prepare a requested demonstration;
  • create, configure and support a customer account;
  • answer calls and generate transcripts, summaries or notifications;
  • send call details by the channel selected by the customer;
  • administer plans, usage and payments;
  • protect accounts, investigate failures and prevent misuse;
  • maintain and improve service reliability and call handling; and
  • meet legal obligations or establish, exercise or defend legal claims.

Depending on the relationship and purpose, the lawful basis may be taking steps at someone's request before a contract, performing a contract, JobRoute's or a customer's legitimate interests in operating and protecting a business service, compliance with a legal obligation, or consent where consent is appropriate. If JobRoute relies on legitimate interests, those interests must be weighed against the rights and reasonable expectations of the people involved.

JobRoute does not use the AI receptionist to make legal, employment, credit or similarly significant decisions about callers. The service may classify or flag an enquiry, but the customer business decides how to respond.

AI and service providers

JobRoute relies on specialist services to carry a phone call from the caller to the business summary. The providers involved can vary with the configured feature.

Retell AI

May provide the conversational voice-agent layer, including live audio processing, transcription and structured call outcomes.

Twilio

May provide telephone numbers, call transport, forwarding-related functions and SMS delivery.

OpenAI

May support AI processing in configured parts of the receptionist or related summarisation and service functions.

Titan email

May process email enquiries, account communications and email delivery of call or support information.

Stripe

Where Stripe checkout is offered, Stripe may process payment and billing information. JobRoute may receive payment status, transaction references and plan details rather than full card information.

Hosting and infrastructure

Website and database infrastructure providers process requests, account information and operational records needed to deliver and protect the service.

Each provider receives the information needed for the relevant function and applies its own technical service terms and privacy documentation. Contact JobRoute for the providers relevant to a particular customer configuration.

Sharing and international processing

Information may be shared with the customer business receiving the call, the service providers described above, professional advisers, authorities where required by law, or a successor involved in a genuine reorganisation or transfer of the service.

Some technology providers may process information outside the United Kingdom. JobRoute does not claim that all call or account data is stored only in the UK. Email hello@jobroute.co.uk if you want current information about processing locations and the transfer arrangements relevant to your use of the service.

JobRoute does not sell caller or customer personal information.

How long information is kept

JobRoute keeps personal information only for as long as it is needed for the purpose for which it was collected, including providing the service, supporting an account, resolving a complaint or dispute, protecting the service and meeting legal, tax or accounting obligations.

Different information may need different retention periods. For example, a call summary needed in a customer portal is different from a short-lived delivery log or a billing record required for accounts. When information is no longer needed, it should be deleted or anonymised, subject to backup cycles and legal requirements.

JobRoute does not state one exact retention period here because the current service and customer configurations can differ. Customers and callers can ask what currently applies to their information by email.

Your data protection rights

Depending on the circumstances, UK data protection law may give you the right to request access to personal information, correct inaccurate data, ask for deletion or restriction, object to certain uses, receive portable data, or withdraw consent where processing is based on consent.

Send a request to hello@jobroute.co.uk. JobRoute may ask for information needed to confirm identity and locate the relevant record. Some rights have exemptions, and some information may need to be retained for legal reasons.

You may also complain to the UK Information Commissioner's Office. Information about complaints is available at ico.org.uk/make-a-complaint.

Customer businesses and callers

A JobRoute customer is responsible for giving accurate business instructions, choosing appropriate call questions and complying with the laws that apply to its callers. This includes providing any notice required when AI, call recording or transcription is used and avoiding unnecessary collection of sensitive information.

Callers can ask the trade business that received their call about the enquiry, or contact JobRoute if they are unsure who is responsible for their information. JobRoute may need the called number, approximate call time and caller number to locate a record.

Contact, security and changes

JobRoute uses administrative, access and technical measures intended to protect service information, but no internet or telecommunications service can promise absolute security. Read more on the security and privacy page.

Report a suspected data or security issue to hello@jobroute.co.uk. Please do not include passwords, full card information or unrelated caller data in the initial email.

This notice may change as JobRoute adds features, providers or legal information. Material updates will be reflected on this page with a revised date.
